Agenda fields and cards

All Custom Agendas are editable, including fields and individual cards in already created agendas. You can customize everything or create a completely new agenda.

Setting up and working with agenda fields

You can set up custom fields via the User menu (your name in the top left corner) - Configuration - Custom agendas - Human Resources (or select another agenda) - card 2 Agenda Fields - green + button in the Agenda fields table.

Setting up a new field in the agenda

Basic:

  1. Title

Enter the desired title, which will also be displayed in the selected agenda where you will later place the field.

  1. Description

If you enter a note or description in this field, a small blue icon with a question mark will appear next to this field in the agenda. When you hover your mouse over this question mark, the description you entered will be displayed.

  1. Identifier in template

When you create a new field, its identifier is automatically generated. This identifier is used when creating documents and selecting text to be sent in notifications. For example, for a field named Training Date, it will look like {{record.trainingdate}}.

  1. Data type

Determines whether the value to be entered in the field should be in text, time, date, etc. format.


The most commonly used types of fields are:

Text

- e.g. enter the name of the manager/select from the list of names

Date

- which can then be followed up with a notification

Yes/No

- check mark, e.g., returned Multisport card, returned chip, canceled access to systems

Document

- You can upload documents from your PC or by adding a URL address to the document in this field.

- Documents can also be digitally signed.

Employee or Agenda record

- This field links the record to the given person. This field can also be integrated into the Human Resources agenda.

EXAMPLE: The Asset Register agenda has the following fields

Rented to user type Employee,

Device name type Text,

Type type Text, with predefined values: Mobile phone, Laptop, Vehicle,

Rental date type Date.

  1. Number of values

By default, fields have a single value (for example, only one employee can be the "holder" of a particular asset), but it is also possible to add a field with multiple values (for example, the "Witness of accident" field in the Book of Injuries has the "Number of values" option set to "Multiple values").

If you want to select specific values, set them in the Values tab for this field.

You can check the option Field is a member of presentation value next to the field. When the record of this agenda is displayed elsewhere in the application (for example, in a drop-down list), the values of the fields that have this option enabled will be displayed.

EXAMPLE: In the Book of injuries agenda, enable the Field is a member of presentation value option for the Date and Injured Employee fields. Elsewhere in the application, records will then be displayed in the accident list as 2023-08-01 Mark Johnson.

  1. Default value

You can define the specific conditions for the default values of a particular field in more detail. For example, in Medical Examinations, there are several types of examinations available, but the default will always be Entry Examination. We will be happy to help you create an expression for the default value.

Entering a default value for a specific field

Alternatively, advanced conditions can be set, for example, "if the employee has the Professional driver checkbox checked, the training type - Professional driver training should be automatically selected for newly added driver training."

  1. Enumeration of values

The entered values will be displayed as a predefined option for the given field.

If the Also allow other than enumerated values is enabled, the user will also be able to enter other, undefined values into the given field.

Setting up and creating cards

In addition to fields, you can also add your own cards to your own agendas. For example, in the Human Resources agenda, you can add an Onboarding and Offboarding card to better record the requirements for employee onboarding/offboarding.

Description of card settings and field layout
  1. You can create a new card via the User menu (your name in the top left corner) - Configuration - Custom agendas - Human resources (or select another agenda) - Agenda fields card - green + button in the Cards table.
  2. In each tab, you can customize the layout of the fields into 1, 2, or 3 columns, or insert a blank row (striped field).
  3. You can find the layout selection under the Selected card table. Drag it with your mouse to place it directly into the table. You can delete the layout using the trash can icon.
  4. Then, drag individual fields from the list on the right into the empty layout icons. You can remove a field from the card using the trash can icon.

TIP: If the field is highlighted in bold, it has not yet been placed on any card.

Once the fields have been assigned to the card, look at the agenda to which you added the card. If the card was already open, close it with the cross and reopen it to apply the saved changes.
