Digital signing of documents

You can store documents in GIRITON. Most often, for example, you upload a PDF with an employment contract or health and safety training to the User, or you use the Document generation function, which first generates the document from your template and saves it into Giriton.

You can then also digitally sign these documents via integration with the Digisign service. In the GIRITON web application, go to the agenda Human Resources -> Documents, select the required documents of the given user and click the "Sign documents" button.

Price

The price of the Digital signature function is  0.75 EUR or 0.8 USD excluding VAT for one signed envelope (which can contain both multiple documents and multiple signatories). Digital signatures are implemented through the DigiSign service. In the invoicing for Giriton, the number of digitally signed documents in a given month will be listed as a separate item.

Activating and setting the function

The "Sign documents" function is available to users who have the "Issuing requests for document digital signatures" permission. So first, make sure that the users who should be able to send documents for digital signature have been granted this permission.

You can modify the default options for digital signatures in the User menu -> Settings -> Digital signing. In this tab, visible only to users with administrator privileges, you can modify the default options for digital signatures.

Signing documents

In the GIRITON web application, go to the Human Resources -> Documents agenda (this agenda will only be available if you have the "View documents" permission), upload a new document to the user (which you can do if you have the "Edit documents" permission) and Save the changes.

Select one or more documents that you wish to digitally sign and click the "Sign documents" button. Only PDF or DOCX (Word) documents can be signed.

In the "Signatories" table, you can add more users who are to sign the document and also the way in which the invitation to sign will be delivered to these users (personal email, work email, SMS, ...).

After clicking on "Send envelope", users will be sent an email with the files to be signed.

When the last user signs the envelope, the status of the envelope and all documents in it will change to "Signed" and the given files in Giriton will be replaced by digitally signed files, i.e. containing the signature data of all signing users.

Correct signing of HR documents

Attention, for most HR documents it is necessary to use the employee's personal and not company email. So remember to select Email personal in the dialog for signing the document and also to fill in the user's personal email in the agenda Personal > Contact.
