Setting the break activity

Auto inserted break without the need of clocking-in

The break activity can be set to deduct, for example, 30 minutes from working hours for every 6 hours worked. The users do not have to clock-in a break because it is inserted automatically. Time will be deducted for it which will then not be included in the total time worked. This method of inserting breaks can also be turned on retrospectively in all open months.

To turn on the feature, follow these steps:

  1. Click the User menu (your name at the top left) - Configuration - Planned tasks.
  2. Click the Add button to display the planned tasks menu.
  3. Select the task Insert activity into block longer than… 
  4. Click on the newly created planned task after adding. Its detail will be displayed.
  5. You select the duration of the inserted activity on the right (e.g. 00:30), the activity threshold duration (e.g. 06:00) and Inserted activity start offset (e.g. 05:00) and maximum ammount of activity blocks for the insterted activity 
  6. You can then set which activities or shifts this task applies to. You can restrict this activity to certain departments/tags in the 2 Valid only for card. 

In this setting, a break of 00:30 after the 5th worked hour is then inserted as soon as the user meets the condition of working at least 6 hours of Work.

Extending a too short clocked-in break

If users clock-in breaks themselves but sometimes end them after 25 minutes, for example, and the problem is these missing 5 minutes, we can set the break as that, for example, all breaks lasting from 20 to 30 minutes are extended to 30 minutes.

You can turn on this feature as follows: 

  1. Click the User menu (your name at the top left) - Configuration - Planned tasks.
  2. Click the Add button to display the planned tasks menu.
  3. Select the Automatic extension of activity task.
  4. Click on the newly created planned task after adding. Its details will be displayed.
  5. Select the lower bound in its detail (e.g. 00:25), the upper bound (e.g. 00:30) and the watched activity (Break). 
  6. You can restrict this activity to certain departments / tags in the 2 Valid only for card.

In this setting, all breaks that are 25-29 minutes long are extended to 30 minutes. Breaks of 0-24 minutes remain unchanged.

Ending a break lasting longer than…

The system can also be configured so that users can clock-in at the beginning of the break only and the end of it is inserted (after a preset time) automatically. If users end break before this set time has passed, everything is fine. But if not, the system will end it for them.

  1. Click the User menu (your name at the top left) - Configuration - Planned tasks.
  2. Click the Add button to display the planned tasks menu.
  3. Select the task Finish activity lasting longer than …
  4. Click on the newly created planned task after adding. Its details will be displayed.
  5. Select the maximal duration of the activity (e.g. 00:30) and the watched activity (Break).

In this setting, all breaks that do not have a clocked-in end will end after 30 minutes.
